TERMS AND CONDITIONS

Welcome to Elara Practice. These Terms and Conditions outline the framework for our therapeutic contact. By scheduling a session, you agree to the following terms.

1. Scope of Services

I provide psychological counseling and therapy services designed to support your mental well-being. These services are offered online. Please note that these services are not a substitute for psychiatric emergency care or medical treatment.

2. Appointments

Sessions must be booked in advance via this link, through the contact form or by email. I offer four types of appointments:

  • Free Consultation: 25 minutes 

  • Check-in Session: 25 minutes

  • Standard Session: 50 minutes

  • Long Session: 75 minutes

3. Pricing and Paymemts

Payment is due before the appointment via the payment link received in the confirmation email. 

  • Check-in Session: €45

  • Standard Session: €90

  • Long Session: €135

Sliding Scale: I offer a limited number of slots at a reduced rate for students and individuals in difficult financial situations. Please inquire during our introductory call to discuss availability and eligibility.

A formal invoice can be issued within 24 hours after the session upon request.

Failure to complete a payment up to 2 hours before the start of the appointment will result in cancellation. No further sessions will be scheduled until any outstanding payments are settled.

4. Insurance Reimbursement

I operate as a private practitioner. My services are generally not covered by standard health insurance. It is the Client’s responsibility to check with their provider regarding reimbursement.

5. Cancellations and Rescheduling

Your appointment time is reserved exclusively for you.

  • Standard Notice Period: Cancellations or rescheduling requests must be made at least 48 hours in advance at no charge.

  • Late Notice Period: If you cancel between 48 and 24 hours in advance 50% of the session fee will be charged.
  • Last Minute Cancellations and No-Shows: If you cancel with less than 24 hours‘ notice, or fail to attend a scheduled session (No-Show), the full session fee will be charged.

  • Exceptions: Exceptions may be made for sudden illness or emergencies following a discussion of your situation.

Refunds are not available for completed sessions. Prepaid sessions are non-refundable but may be rescheduled if cancellation falls within the terms above.

6. Late Arrivals

If you arrive late, the session will still end at the scheduled time to respect subsequent clients. If you are more than 15 minutes late without notice, it may be treated as a “No-Show,” and the session may be cancelled without a refund.

7. Conduct

Clients are not permitted to record or transcribe sessions or use AI tools (like chatbots or automated summaries) during sessions.

 

Clients are expected to attend sessions sober, present, and respectful. Disrespectful or disruptive behavior may result in immediate termination of the session without refund.

8. Confidentiality

Everything discussed in our sessions is strictly confidential. Information will not be shared with third parties without your written consent, except in the following legal/ethical circumstances:

  • There is a clear risk of imminent harm to yourself or others.

  • Legal requirements (e.g., a court order).

  • Mandatory reporting regarding the safety of a minor or vulnerable adult.

9. Data Protection

I am committed to protecting your personal data in accordance with the General Data Protection Regulation (GDPR).

  • I collect only the data necessary for scheduling and treatment.

  • Client records are stored securely for the duration required by law.

10. Right of Withdrawal

Therapy is voluntary. You have the right to end our therapeutic relationship at any time. I suggest we have a final “closing session” to wrap up our work together effectively, but this is not mandatory.

11. Liability

As a psychologist, I pledge to provides services to the best of my professional ability. However, I cannot guarantee specific outcomes. Liability for any indirect or consequential damages is excluded to the extent permitted by law.

I do not provide crisis intervention. If you are in immediate danger or experiencing a mental health emergency, please contact:

  • Your local emergency services (e.g., 112, 911).

  • Your GP or the nearest hospital emergency room.

14. Complaints

If you are unhappy with the service provided, I encourage you to discuss this with me directly so we can resolve it. If we cannot reach a resolution, you may submit an official complaint by following the standard Complaints Procedure

15. Changes to the Terms

I reserve the right to update these Terms and Conditions at any time. You will be notified of any significant changes via email or during our next session.
